How we handle your information.

This policy covers the Talent Hub Intelligence website and our contact with you as a business enquirer or client.

The short version

We collect only what we need to talk to you and run your service: your business name, your contact name, your contact details and any details about your hiring you choose to share with us. We don't sell it, we don't share it for marketing, and you can ask us to update or delete it at any time.

1. Who we are

Talent Hub Intelligence ("we", "us") provides an AI-powered recruitment platform, deployed and managed for any business that recruits. We are based in the Isle of Man and act as the data controller for the information described in this policy. You can contact us about anything in this policy at hello@talenthubi.com.

2. What we collect

When you enquire about Talent Hub Intelligence, book a demo, or become a client, we collect:

  • Business name: the name of your company or organisation
  • Contact name: the name of the person we're dealing with
  • Contact details: your business email address, phone number and, where relevant, business address
  • Enquiry details you choose to share: such as your team size, hiring and applicant volumes, preferred data hosting jurisdiction, and anything you add to your message when booking a demo or requesting a proposal

That's it. We don't collect anything else about you through this website, and we don't buy data about you from anyone.

3. Candidate data is different

If you're a candidate using a careers site or portal run on the Talent Hub platform, your data is controlled by the recruitment business you registered with, not by us. Their privacy notice (available on their careers site) explains how your data is used. We process that data only on their instructions, as their data processor.

4. How we use your information

  • To respond to your enquiry, demo request or proposal request, including preparing a tailored proposal from the details you give us
  • To set up, deliver and support your Talent Hub platform
  • To invoice and manage our agreement with you
  • To tell you about relevant product updates, and only if you've said yes, and you can opt out any time

Our lawful bases are: taking steps to enter into and perform a contract with you, our legitimate interest in responding to business enquiries, and your consent for any marketing.

5. Your team's platform accounts

If your business becomes a client, members of your team get accounts on your Talent Hub platform. For those accounts we hold names, work email addresses, roles and security logs — this is what makes login, access levels and the audit trail work. The audit trail records actions taken on the platform, so team members should be aware their platform activity is logged. We keep this information for the life of your agreement, then delete it.

6. Who we share it with

Nobody, for marketing, ever. We use a small number of trusted service providers to run our business (such as email and secure hosting on ISO 27001-certified UK/EU infrastructure), and they process data only on our instructions. If any provider processes data outside the UK, EU or Isle of Man, we make sure equivalent legal protections are in place. We may disclose information if the law requires it.

7. How long we keep it

If you enquire but don't become a client, we keep your details for up to 12 months so we can follow up, then delete them. If you become a client, we keep your details for the life of our agreement plus up to 6 years afterwards, to meet legal and accounting obligations.

8. How we protect it

Your information is stored on secure, encrypted systems hosted in UK and EU data centres, with access limited to the people who need it. If a breach ever affects your data, we'll notify you promptly and within statutory timescales. We don't make any automated decisions about you as an enquirer or client.

9. Your rights

Under the Isle of Man Data Protection Act 2018 and UK/EU GDPR you can:

  • Ask for a copy of the information we hold about you
  • Ask us to correct or delete it
  • Object to or restrict how we use it
  • Ask us to send your information to you or another provider in a usable format
  • Withdraw consent to marketing at any time

Email hello@talenthubi.com and we'll respond within one month. If you're not happy with how we handle a request, you can complain to the Isle of Man Information Commissioner (or the UK ICO if you're in the UK).

10. Cookies

This website uses only the cookies it needs to work — small files that keep the site secure and remember essentials like your form progress while you're here. Because none of them track you, we don't need to interrupt you with a cookie banner.

We don't run advertising, analytics or cross-site tracking cookies, and nothing about your visit is shared with third parties. You can block or delete cookies in your browser settings at any time, though parts of the site (such as forms) may stop working. If we ever add cookies beyond the essentials, we'll update this policy and ask for your consent first.

11. Changes to this policy

If we change this policy, we'll update this page and the date at the top. If a change materially affects how we use your information, we'll tell you directly.
